ShopFlow OS for woodworking shops
Custom furniture, built-ins, millwork, cabinets, and one-of-a-kind commissions. The shop management software for makers who measure in board feet and care about grain direction.
Built for the realities of woodworking
The bench, the glue-up table, the spray booth, the delivery truck. ShopFlow OS knows that the work doesn't happen in ticket comments — it happens in the shop.
Species-specific timing and movement
Mahogany takes finish differently than cedar. Quartersawn white oak moves less than flatsawn cherry. Walnut darkens under UV. ShopFlow OS lets you note species, grain, and moisture content per project so the next person on the bench has the context.
Glue-up windows and clamp time
A 14-board panel glue-up needs 45 minutes of open time, 4 hours in clamps, and 24 hours before milling flat. Generic tools want you to guess at deadlines. We let you set cure timers per phase so the kanban tells you when a piece is actually ready.
Sanding stations and finishing schedules
Hand sanding through 80, 120, 180, 220. Then conditioner, stain, seal coat, two top coats with sanding between. ShopFlow OS makes finishing a real production phase with sub-steps — not a vague 'almost done' status.
Custom millwork that ships in pieces
A built-in entertainment center is 9 separate cabinets, 3 face frames, and 14 doors. Each piece has its own bench, finish, and install slot. Track them as production items under one project so nothing arrives at the install short.
Client wood selection and revisions
Clients pick a wood species from photos, then change their mind when they see a sample. The portal stores both — the original choice and the change request — so there's no 'I never said walnut' fight at delivery.
Delivery and white-glove install
A 200-pound sideboard isn't a UPS shipment. ShopFlow OS handles delivery scheduling, blanket-wrap notes, and a delivery photo upload that doubles as a damage waiver.
The features woodworkers actually use daily

Production kanban with cure timers
Glue-up, sand, stain, seal, top-coat. Each phase has its own dwell time so the board never lies about when a piece is actually ready.

Design queue for cabinet drawings
Drop SketchUp exports, drawings, or hand sketches. Client comments live next to the drawing — not buried in an email thread.

Client portal with finish samples
Photos of stain samples, hardware options, and progress shots from the bench. Clients feel in the loop without ever calling at 5pm.

Quotes and Square invoicing
Generate a written quote with line items per piece. Take a 50% deposit through Square, balance on delivery — no extra payment processor needed.
How a typical commission flows through ShopFlow OS
- 1. Inquiry and discovery call
Lead comes in through your inquiry form. You note species preference, dimensions, room photos, and a budget range.
- 2. Quote with options
You send a written quote with two species options (walnut vs white oak) and let the client pick in the portal.
- 3. Deposit and material order
50% deposit through Square. You order rough lumber and note the supplier and lead time on the project.
- 4. Milling, glue-up, joinery
Each phase advances on the kanban. Glue-up timers count down. Apprentices see exactly what's ready for the next operation.
- 5. Finishing schedule
Sanding through 220, conditioner, stain, two top coats. Finish samples shared in the portal before you commit on the real piece.
- 6. Delivery and install
White-glove delivery scheduled. Photos before and after install. Balance invoice paid on the spot from a phone.
Woodworking shop FAQ
Does this work for one-person furniture shops?
Yes — the Starter tier is built for solo makers. Skip the kanban if you want; just use leads, quotes, invoices, and the client portal to look professional and stop losing inquiries.
Can I track materials and lumber inventory?
We track project-level materials (board feet of walnut, sheets of plywood) so you can quote accurately and know what to order. Full warehouse-style inventory is on the roadmap.
What about subcontracted finishing or upholstery?
Add a sub-contractor as a 'phase owner' on a project. They get notifications when a piece arrives at their shop, and the timer pauses while it's out of your hands.
Can clients see in-progress photos without me sending them?
Yes. Snap a photo on your phone, tag the project, and it shows in the client portal automatically. Clients love it; you stop getting 'how's it coming?' texts.
